Job Title: Finance amp; Administration Officer
Reports to: Executive Director
Location: Arusha, Tanzania
Job Purpose
Your role is to provide administrative support for all Twende functions, especially financial, compliance, and HR.
Success means that all Twende financial processes and systems run smoothly and effectively, reports and records are accurate and comprehensive, and all hires, interns, and volunteers feel welcomed and ready to be part of Twende.
Job Description
- Use QuickBooks accounting system to account for all organization activities and maintaining organization accounting records.
- File hard copies of select documents.
- Reconcile records and cash-at-hand every week.
- Generate invoices and receipts, as needed.
- Manage cash use forms and records.
- Ensure enough cash-at-hand is available for smooth operations.
- Able to Manage crowdfunding platforms through posting campaigns, reports, reconciling disbursements and communicate it to the team and board.
- Budgeting and making sure organization activities reflect what is on the budget.
- Analyze monthly budget vs. actual spending and special-request reports for management to assist in decision-making.
- Create financial reports for auditors, funders, TRA, and other authorities to show past activities.
- Lead monthly financial management meetings for the entire staff to understand Twende’s financial situation.
- Ensure Twende meets all Tanzanian legal requirements.
- Orient and welcome new staff, volunteers, and interns.
- Take minutes of Staff Check-Ins.
- Manage and update HR materials, such as Staff Manual, Child Protection Policy, and Employee Contracts.
- Ensure all international visitors, interns, volunteers, and staff have appropriate visa requirements.
- Update Human Resources records and files for all members of Twende
- Manage basic IT needs and manage internet equipment and usage.
- Assist and participate in Twende’s team-building activities.
- Assist other Twende staff and volunteers, as needed.
Requirements
- Bachelor’s Degree in accountancy or its equivalent from a recognized Institute
- Able to Use QuickBooks
- Holder of computer certificate and have a working knowledge of software applications like Microsoft word, excel, internet and other necessary computer experiences.
- Must be fluent in both Kiswahili and English language.
